Terms & Conditions

We are delighted that you have chosen to host your event with us at the City Hotel.  We would ask that you familiarise yourself with our current booking terms and conditions.  If any points require clarification, please do not hesitate to ask.  

• Provisional bookings	A provisional booking will only be held for a maximum of 14 days and will be released without notice if confirmation has not been received.
  Confirmation	All reservations must be confirmed by fax or email, a verbal confirmation is not binding.
  Cancellation of meeting rooms	If you cancel your event the following fees will apply. Up to 1 month prior                 0 % of charges Within 30 days                       25% of charges Within 14 days                       50% of charges Within 7 days                          full charges The cancellation of any event must be received in writing. Deposits are non refundable.
  Cancellation of accommodation	Subject to contract.
  Room layout	All room layouts must be agreed 14 days prior to the event.  Any further changes require at least 24 hours notice.  Changes requested on the day are honoured at the hotels discretion.
  Large functions	For all large conference and dinner dances we will require a deposit of £500.00 along with the signed terms and conditions and contract to confirm the booking. .
  Menus	All menus must be agreed 14 days prior to your event.  With final number at least 72 hours in advance.  The number given will always be the minimum charged on the day.
  Numbers	Provisional numbers will be asked for at the time at booking and the hotel reserves the right to stipulate a minimum number to be charged for the event. Final numbers must be confirmed 3 working days prior to the event (not including the day of the event) and, subject to a minimum number, this will be the number to derive charges.
  Prices	All prices quoted are for the current year 2008, inclusive of vat and are subject to change for subsequent years.
  Payment	Unless you have a company account with the hotel the balance of your event must be settled on departure. If you can not supply credit card details at the time of the booking a deposit of 20% of the booking value must be paid upon confirmation.
  General	Food and drink may not be brought into the hotel. The hotel reserve the right to charge for any damage caused during your event. If your number decreases the hotel reserves the right to move your event to a room of an appropriate size. Early access or overnight hold is not guaranteed unless agreed prior to the event and charges may be added.
